Host Guidelines

Outside Club works because people feel safe showing up. These are the rules every Flock Leader runs by.

Before every meetup

  • Post the meetup on your club page at least 48 hours ahead: date, start time, meeting spot, route and distance.
  • Walk or run the route yourself first. Pick well-lit routes with sidewalks, crossings and places to stop.
  • Check the forecast. Cancel or shorten in extreme heat (NWS heat warning or above 105°F), lightning, flash-flood warnings or high winds. Summer meetups start before 7 AM or after sunset.
  • Know the nearest hospital or urgent care and where water is on the route.

At the meetup

  • Check everyone in by name. Only people with a signed waiver on file take part. Send newcomers to baepsae.com/pages/waiver and wait for them to sign.
  • Brief the group in under two minutes: route, turnaround point, pace groups, regroup spots, and who to find if something's wrong.
  • Run two groups: walkers and runners. Name a lead and a sweep for each, so nobody finishes alone.
  • Obey traffic laws. Single file on narrow sidewalks, crosswalks only, no running in traffic lanes.
  • After dark, everyone wears something reflective or a light. Hosts carry a light.
  • Carry a phone and water. If a first aid kit fits in your bag, bring it.

If something goes wrong

  1. For any serious injury, collapse, chest pain, confusion or signs of heat stroke, call 911 first. Don't drive them yourself.
  2. Stay with the person until help arrives. Keep the group back.
  3. Contact their emergency contact from the waiver if they can't.
  4. Tell BAEPSAE within 24 hours by replying to any Outside Club email: what happened, when, where, who was involved and any witnesses.
  5. Don't admit fault or discuss liability, online or off. Refer questions to BAEPSAE.

Conduct

  • Every pace is welcome. No one gets dropped, shamed or left behind.
  • Zero tolerance for harassment, discrimination or unwanted contact. Hosts remove anyone who breaks this and report it to BAEPSAE.
  • No alcohol before or during a meetup. Social stops afterwards are fine, but they aren't Outside Club events.
  • Hosts don't give medical, injury or nutrition advice beyond telling someone to see a professional.

Brand and content

  • Wear BAEPSAE SPORT gear at meetups.
  • Post meetups, recaps and photos and tag BAEPSAE. Anyone who asks not to be filmed stays out of shots.
  • Don't speak for BAEPSAE to press or partners, and don't make promises about products, drops or payments.
  • Your affiliate link is yours to share. Don't run paid ads on the BAEPSAE name.
